Web systems constantly send e-mails to their users. The Website-Base also provides some features that automatically send emails to visitors and website administrators, such as the registration and enrollment system, the career portal, and even some form finishers.

In order to be able to keep track of the large number of messages sent and, if necessary, to make changes to the templates for auto-generated messages with little effort, the Website-Base contains the Mail Templates module.

The Features of the Mail Templates Module

The module is subdivided into two functional areas, the mail queue for managing outgoing messages and the template editor, which can be used to edit templates for generating system mails.

The Mail Queue

The Mail Queue collects all mails that were generated by Website-Base functions in chronological order, for example confirmations when submitting an application through the Website-Base's career portal. Depending on the configuration of the function, the emails will then be sent either immediately or during a scheduling process at a later time. The priorities of the messages are taken into account to avoid overloading the server.

The module offers various filter options for searching mails. This is useful, for example, for resending confirmation messages to users who contact because they've never received one by just clicking a button within the module.

The contents of individual mails can also be viewed here and can be changed if necessary. For external processing of the mailing data, for example for analysis purposes, they can be exported via the module as a machine-readable CSV file.

The Template Editor

The Template Editor is used to edit all utilized email templates. To make finding the correct template easier, they are sorted by the functions they get used by.

Since each extension uses different information to create the messages, the editor lists all the information available for creating the selected template, including the associated markers (variables), examples, and a brief description of each marker. To simplify the use of these markers, a usage example is displayed.

The editor is available once for each language of the website. The Website-Base automatically recognizes the language in which the function that sent the e-mail was accessed and uses the corresponding template to create the message.

The message is simply generated based on the inputs in this editor. The input fields here are similar to the familiar input fields of any usual email program and are thus quite self-explanatory. The only difference is that here instead of specific information for name, mail address, etc. the available markers are entered. When a message is generated, the correct information is automatically used instead of the markers. To test whether the changes you made work correctly, a test message with sample data can be sent to any address.
